#Q1036 – Formatting Problems when Printing Labels.

Some users have encountered formatting problems when trying to print labels.

Wrong Paper Size Selected.

Label reports can be printed on two different sized sheets of paper: 8 1/2 x 11 ( a standard American size) and A4 (a standard European size) . These sheets are formatted differently for Avery 5160 labels :
-- Normal Paper Size 8 1/2 x 11 prints thirty labels in three columns of ten rows.
-- A4 Paper Size (Applies to Labels) prints twenty-one labels in three columns of seven rows on A4 size paper (European).

The label formatting will be incorrect when printing Patron Address Labels, Mail Labels or Return Labels using Avery 5160 labels if the wrong size is selected in the Paper Size combo-box or the Select Paper dialog.
-- Patron Address Labels are printed from Mail List reports. The Paper Size combo-box is located under the Which Report combo-box.
-- Mail Labels are printed from the Mail List section of the the Labels module. The Paper Size combo-box is located under the Select Report combo-box.
-- Return Labels are printed from the Return Labels section of the the Labels module. The Select Paper dialog will display when you select the type of return label.

Vertical Discrepancy in the Top Margin of Report.

If the top margin of the report does not align with the top margin of the label sheet, the text will not correctly align with the labels. This can be adjusted in report preview.

1. Click on Reports;
2. Select the report and click Preview.
3. In Preview, select File/Print Setup from the File Menu Bar.
4. Make a note of the default settings displayed in the Margin tab.
5. Adjust the top margin up or down by 2 decimal increments (you might need to do 3). It doesn't take much to change it a lot, so start with very small increments. Starting from 0.5, adjust to say .51 or .49. If that's too much, they try .505 or .495, etc.
6. Print on plain paper and compare to your label sheet to see if it is a better match.
-- We do not advise changing any of the other settings.

When you close the report, the new setting will be saved. We recommend that you record these settings because if you if you upgrade or re-install WorkingArtist, the default settings will be recreated.

The Printer's Non-Printable Margin Space.

Sometimes problems with vertical spacing are caused by the printer. Different printers just print differently. We calibrate the labels to our HP LaserJet 4000, but have noticed that they print slightly differently on a HP DeskJet.

If there is a conflict with the printer's "non-printable bottom margin space", the printer may print the last row of labels on the first row of the next page.

Each printer has different non-printable margin spaces. These spaces may be a different size than the label sheet. For example, some printers have a bottom margin non-printable area that is .6". However, the bottom and top margins of the paper labels of Avery 2160 are .5" each.

What this means is that the report in WorkingArtist (set to a bottom margin of .5" to agree with the paper labels), comes into conflict with the printer margin defaults and so the last row will print on a second page. If you have this problem, increase the bottom margin in Print Setup to .6". This will result in only 9 rows printing on each page, but you won't have the problem of the one extra row printing on one page. You just lose one row of labels rather than almost a whole page.

Changing Column and Row Spacing in Custom Slide Labels.

Some users have encountered formatting problems when trying to print Custom Slide Labels.

1. Click on Reports.
2. Select the report and click Preview.
3. In Preview, select File/Print Setup from the File Menu Bar.
4. Make a note of the default settings displayed in the Margin tab.
5. In the Margins tab, change the top margin to correspond to the label top margin. It doesn't take much to change it a lot, so start with very small increments. If starting from say .5, adjust to .51 or .49. If that's too much, they try .505 or .495, etc.
6. In the Columns tab, adjust the column spacing very slightly. It doesn't take much to change it a lot, so start with very small increments. If starting from say .05, adjust to .045 or less;
7. Print on plain paper and compare to your label sheet to see if it is a better match.

When you close the report, the new setting will be saved. We recommend that you record these settings because if you if you update or re-install WorkingArtist, the default settings will be recreated.
