#Q1032 - Creating a Multiple Edition Artwork Record.

This is not intended to be a comprehensive overview of Artwork Editions. It is a step-by-step guide to creating a multiple edition artwork record.

The Multi-Ed check box on the Artwork form must be checked in order for the Editions tab to display on the Artwork form.

1. Click on the Editions tab to display the Artwork Editions List form.

2. Click on the Add Edition #’s button to display the New Edition form.

# Editions. Enter the total number of editions for the work.

Location. Enter the Location for the artwork. If a default value has been entered in Artist/Info Artwork, that value will display automatically. Location is where the artwork is, such as "studio".

Category. Enter the Category for the artwork. If a default value has been entered in Artist/Info Artwork, that value will display automatically. Category is any value that you want such as "New" or "Current".

Add On. The add-on field might be a specific frame or stand. The add-on list comes from the supplies list. Add-ons are supplies that are tagged in the Supplies-On-Hand list as "artwork add-ons." If the add-on is a frame or stand, you can designate the outside dimensions when you create the supply (add-on) record. When you select the add-on from the list, WorkingArtist will automatically enter the dimensions of the add-on into the Alt Size field. It will also automatically enter the add-on wholesale and add-on retail prices. We recommend that you describe the add-on in a way that will make sense on an invoice, for example, "Standard 12 x 14 Frame." If the add-on you want does not appear in the list, simply type it in to add it to the list. This field is optional.

Add On Label. The add-on label designates the artwork edition as framed, unframed, with stand, without stand, etc. If the add-on label you want does not appear in the list, simply type it in to add it to the list. This field is optional.

Alt Size. Though the Artwork Size field is required, you can elect to use the Alt Size field for the "artwork line." The artwork line displays on forms and reports, i.e., "View of the Pacific, Oil on Canvas, 20 x 30, 1995." If your artwork has an odd size that does not fit into the regular size format, then tag the Alt Size Tag field and enter text to describe the size of the work. For example, if your work is 3 panels, then you might want to use that rather than the regular size field for the artwork line. This field is optional.

Display Alt Size. Tag this box for the Alt Size to be displayed in the artwork line.

Substrate. Substrate refers to the material/ground of the artwork, such as canvas, paper or silk. You might want to use Medium in combination with Substrate with multiple edition prints that are printed on different papers. In a multiple edition work, the Medium field is the same for all editions; the Substrate field can be different for each number/print in the edition. Depending on the value you select in the Display Medium field, WorkingArtist will include Medium, Substrate or Medium on Substrate in the Artwork Line. Substrate is not required. This field is optional.

Display Medium and/or Substrate in Artwork Line. Select which value: “Medium”, “Medium on Substrate” or “Substrate” will be displayed in the Artwork Line.

Signed Description. This is how the edition will be signed. The signature will be displayed on the Artwork Certificate of Authenticity Limited Edition. This field is optional.

Wholesale and Retail Price. The wholesale price and retail price are designated on the proof record. This means that for any artwork, you can have different proofs with different prices. For example, the Main Edition may be one price and the Artist Proof may be another price.

Add On Wholesale and Add On Retail Price. While the Whl Price and the Ret Price are attributes of the Proof record, the Add-On Ret and Add-On Whl prices are attributes of the specific Edition # record. This means that every numbered edition in a specific proof will have the same wholesale and retail prices, but can have customized add-on prices to reflect specific framing or other add-on cost to the specific edition number. These fields are optional.

The Add-On Ret and Add-On Whl for different editions can be edited in the Update Edition Values dialog.

Add Editions # From To. This is the range of artwork editions. For example, if you want to add editions 2 – 10, enter 2 in the “from” box and 10 in the “to” box. You do not need to add all edition numbers at once. You can add them as you create them.
