#Q1014 - Tricks for Importing Artwork and Patron Data from a Text File Please back up your text file before making any changes to it.
When you are mapping a field from your text file to a field in WorkingArtist, you may want to combine two of your fields into one field in WorkingArtist. For example, you may have one field that is "Ms." and one field that is "Brown" (last name). The Dear field in WorkingArists should be either the first name in your text file or a combination of the "Ms." and the "Brown", e.g., "Ms. Brown". To combine the "Ms." with the Last Name into the "Dear" field in WorkingArtist, do the following: 1. Open Microsoft Excel. 2. Click on File/Open and locate your text file. Make sure the "Files of Type" box at the bottom of the Open dialog is set to Text files. 3. Press Next until the file is open in Excel. Along the way you will see a Tab Delimited option. Make sure this is checked. 4. Put your cursor on the column before which you want to insert a new column. From the menu bar, select Insert/Column. 5. Click on the first empty value of the new column. 6. Right above the column heading letters you'll see a box with an "=" sign in front of it. In this box, type in the following: CONCATENATE(A1," ",D1) assuming the A1 is the "Ms" column and D1 is the "LastName" column. If it is typed in correctly, this formula will put together your "Ms." column, then a space, then your "LastName" column, putting "Ms. Brown" in the field. 7. Click on the field once and hit Ctl-C on your keyboard to copy this formula. 8. Click on the next empty field below the one you just created, then drag your cursor to the very last record, so all the fields under this new column are selected. 9. Hit Ctl-V (paste) on your keyboard. This will enter the formula in all the fields in the new column with the correct values. 10. If the new column is correct, save the file. 11. When you map your text fields in WorkingArtist to the WorkingArtist fields, map the new column to the Dear field in WorkingArtist. Back to the top | ||
